50 Miles in May – Terms and Conditions

These Terms and Conditions apply to all individuals participating in the 50 Miles in May challenge (“the Event”) organised by Action against Medical Accidents (AvMA) (“the Charity”, “we”, “us”, or “our”), a registered charity in England & Wales (299123) and Scotland (SCO39683). By signing up for the Event, you agree to comply with these Terms and Conditions.

1. Event Participation

1.1 Eligibility: Participants must be aged 18 or over at the time of registration. Those under 18 must obtain permission from a parent or legal guardian.

1.2 Health and Safety: By taking part, you confirm that you are medically fit to participate. If you have any medical concerns, please consult a healthcare professional before starting the challenge.

1.3 Personal Responsibility: Participants undertake the Event at their own risk. AvMA is not responsible for any injury, loss, or damage incurred during participation. For the avoidance of doubt, nothing in these Terms and Conditions shall attempt to limit or exclude the Charity’s liability for fraud, death, or personal injury.

1.4 Fundraising Compliance: All fundraising must comply with the Fundraising Regulator’s Code of Fundraising Practice and relevant UK laws. You must not carry out door-to-door fundraising, promote gambling, or engage in activities that could harm AvMA’s reputation.

1.5 Event Timing and Completion: The challenge takes place from 1 May to 31 May 2025. Participants aim to complete 30 miles of walking, running, or other physical activity within this period. Progress may be tracked using fitness apps, smartwatches, or manually.

1.6 Parental Consent for Under-16s: Children under 16 years of age at the start of the Event must be registered by a parent or guardian and be accompanied by a responsible adult during participation. All information provided about children must be done so only with the explicit permission and knowledge of the child’s parent/guardian.

2. Registration and Fundraising

2.1 Registration Platform: Entrance to the Event is via the Funraisin platform. You understand that Funraisin is an independent software company to AvMA. You can view their privacy policy here - [insert Funraisin Privacy Policy link]. All information provided as part of the registration form is processed using the Funraisin platform, which only processes the information on behalf of AvMA for the purpose of administering your participation in the Event.

2.2 Registration Fee: There is no mandatory registration fee; however, we encourage participants to raise a minimum suggested sponsorship of £100.

2.3 Fundraising Platforms: Participants are encouraged to use AvMA’s official fundraising platform, Funraisin, to ensure transparency and Gift Aid eligibility.

2.4 Gift Aid: UK taxpayers may be eligible to add Gift Aid to their donations, increasing the value of their sponsorship at no extra cost. Participants must not claim Gift Aid on behalf of others.

2.5 Use of Funds: All funds raised must be donated directly to AvMA and cannot be used for any personal expenses.

2.6 Third-Party Platforms and Devices: Should participants choose to connect their Funraisin account with any other third-party website and/or device, they accept that they do so at their own risk, and AvMA shall not be responsible for any data provided or terms and conditions they may be asked to accept.

3. Liability and Insurance

3.1 Personal Liability: AvMA accepts no responsibility for personal injury, loss, or damage to property incurred during participation in the Event.

3.2 Insurance: AvMA does not provide insurance for participants. If desired, individuals should arrange their own personal insurance cover.

3.3 Weather and Environmental Conditions: Participants should consider weather conditions and avoid high-risk environments when taking part. AvMA is not responsible for accidents caused by external conditions.

4. Event Conduct and Use of AvMA Branding

4.1 Respectful Participation: Participants must conduct themselves in a respectful and lawful manner. Offensive behaviour, harassment, or activities that bring AvMA into disrepute will result in removal from the Event.

4.2 Use of AvMA Branding: Participants may use official AvMA logos and branding in line with our guidelines. Modifications or misuse of branding are not permitted.

4.3 Team Participation: Team captains providing information about other team members must do so only with each team member’s explicit consent. Team captains can view the names and email addresses of all team members.

5. Privacy and Data Protection

By providing your details, AvMA may contact you by email, SMS, telephone, and mail about your fundraising and participation in the Event. AvMA will only contact you for marketing purposes if we have your explicit consent.

6. Changes and Cancellation

6.1 Event Changes: AvMA reserves the right to amend these Terms and Conditions or make necessary adjustments to the Event, including changes due to unforeseen circumstances.

6.2 Cancellation by Participant: If you are unable to complete the Event, there is no requirement to return sponsorship funds already donated.

6.3 Cancellation by AvMA: In the unlikely event of cancellation, AvMA will notify all participants and may offer an alternative event or defer participation.
